We aim to ensure that the ABM is accessible for voting members’ participation while maintaining flexibility in voting options. Voting members may cast their votes either in person at the onsite ABM at Grace@BukitBatok or by proxy through hardcopy or online submission.

Those who wish to attend and vote in person may do so at the onsite ABM. Alternatively, members who are unable to attend in person may vote by proxy and register their interest to view the ABM virtually on 23 May 2025.

Registration will close by 7.45pm for the ABM to begin at 8.00pm. Members who arrive after registration closes at 7.45pm, will not be eligible to vote and can only attend the ABM as observers. You are advised to have your mobile phones with you to log into the live voting system that will be utilised that day.

Yes, you can. For your convenience, you may choose to continue to vote via the proxy form. By completing and endorsing on the proxy form, either digitally or via hardcopy, voting members are able to exercise their rights by appointing the Chairman as proxy to represent them and their votes at the ABM on 23 May 2025, even if they are unable to attend the ABM themselves.

Voting members who wish to change their votes after submitting their proxy forms, may re-submit another proxy form (online or hardcopy) before 21 May 2025, 11.59pm.

The re-submitted proxy form, if valid, will supersede the voting member’s earlier submission, and will be accounted for quorum. The earlier proxy form submitted by the same voting member will then be made void.

Under the following circumstances, you may still register and vote onsite in person on 23 May 2025 at Grace@BukitBatok (as per the details on Voting Onsite above):

1. Should you miss the deadline for proxy submission on 21 May 2025, 11.59pm; OR
2. Should you change your mind and wish to withdraw your proxy submission after 21 May 2025, you can recast fresh votes on the agenda items at the onsite ABM on 23 May 2025. Please note that all withdrawals must be done at the registration counter before it closes at 7.45pm on 23 May 2025.

Selected staff are authorised to access the proxy forms that come in electronically or hand delivered. Hardcopies will be kept secured. Each of these authorised staff has signed a non-disclosure agreement to keep the contents in the proxy forms received, confidential.

Authorised staff will only check for the validity of the proxy forms i.e. to ensure they are duly completed and signed, upon receipt. Only valid proxy forms will be included to account for quorum. Votes are not counted at this point.

Proxy forms received via email are printed out and checked for validity. All valid proxy forms will be kept in a sealed box. The sealed box will only be opened for the purpose of data entry by selected staff after the submission deadline on 21 May 2025.

The final tabulation of votes, both proxy and live voting will be done by a team, in the presence of the Returning Officer and two Scrutineers. All handling of proxy forms and votes will be conducted in a room that is under surveillance of security cameras.

Everyone involved in the data entry and counting of votes will be required to sign a non-disclosure agreement to keep the contents in the proxy forms received and the vote counting proceeding and results, confidential.

We will endeavour to announce the results of the Election of the Executive Church Board 2025-2027 by the Chairman at the 64th Annual Business Meeting (ABM) on 23 May 2025, barring any unforeseen circumstances. The results will be published on the Church website by the weekend of 24 and 25 May 2025.

As a Charity organisation, the Church is required to submit its Annual Returns to the respective authorities within 6 months of the close of its Financial Year (in this case, 31 December). Constitutionally, we are also mandated to hold our Annual Business Meeting (ABM) by 31 May.

The Executive Church Board (ECB) and the Estate & Facilities Committee are working closely with the architects and consultants on the possibilities for the proposed Rejuvenation of Grace@BukitBatok. As more time is needed for the team to delve into the details and to study the options at length before presenting to members, the ECB has decided to separately table the Rejuvenation of Grace@BukitBatok in the second half of the year at an EBM, to give sufficient time for the significant preparation needed.
